Setting up transaction types
Under Finance → Transaction Types, define the categories of payment your church collects — Tithe, Offering, Building Fund, Welfare, and so on. These are usually set up once during the onboarding wizard, but you can add more at any time.
Every transaction recorded afterwards must be tagged with one of these types, so it's worth agreeing on a consistent set of names before you start recording payments.
Currencies
Under Finance → Currencies, you can see which currencies are available for recording transactions. Your church's overall reporting currency is set separately — see System Reporting Currency — and individual branches can override it, see Setting a branch's reporting currency.
Adding a pledge
From a member's profile or the Pledges page, click Add Pledge to record a commitment — for example a monthly pledge toward a building project. Members can also set or update their own pledge from the Member Portal.
Recording a transaction
Open the member's profile and click Record Transaction. Fill in:
- Transaction Type — one of the types set up earlier.
- Amount and Currency.
- Branch — which branch the payment is attributed to.
- Date and an optional Reference and Notes.
- Payment Mode — Cash, Mobile Money, Bank Transfer, Cheque, or another method.
Save to add it to the member's transaction history and update their balance automatically.
Reading balance information
Each member's profile shows a Balance Information panel with one of three statuses:
- Overpaid — the member has paid more than what's currently due.
- Owes — there's an outstanding amount still due.
- Settled — the member is fully up to date.
Use Outstanding Balances in Reports to see this across your whole church rather than member by member.
Downloading a receipt
Every recorded transaction can produce an Official Payment Receipt. From the transaction, choose Download Your Receipt to save a PDF, or Print receipt to print it directly. Receipts can be verified independently using a one-time code (OTP) printed on the receipt itself.
If a member needs their SMS confirmation resent rather than a printed receipt, use the transaction's Resend SMS action — see SMS API Settings if messages aren't being delivered at all.
Once payments are flowing in, head to Reports to see the full picture.
